Part-time Accounting Clerk

Job Title: Part-time Accounting Clerk
Department:    Accounting/Business Office
Reports To: Sarah Reynolds, Controller
Work Hours: Part-time, non-exempt position.  Approx. 25 hours per week

Overview:

This position will provide support in daily accounting functions, specifically in accounts payable.

Job Responsibilities:

  • Process Accounts Payable invoices: track and code incoming expenses for various museum services, enter into Great Plains accounting software. Ensure that invoices are coded accurately and entered timely. Maintain approval workflows.
  • Execute the check and Automated Clearing House (ACH) payments. Process wire payments when necessary.
  • Coordinates with Controller, V.P. of Finance & Operations on prioritizing payments based on priority and/or available cash resources.
  • Administer the museum’s credit card program that includes importing credit card transaction data into the accounting system, reconciling transactions with receipts and assist with inquiries related to the program.
  • Performs analysis of accounts payable aging; communicates issues or problems to manager and proposes solutions.
  • Assists with preparation of mandatory vendor reporting as required by Federal and State law. Follows-up on stale dated checks, vendor credit balances, aged payables, and stale dated checks.
  • Review, prepare, and process 1099s annually before the IRS deadline.

  • Effectively and timely responds to vendor and internal inquiries and/or alerts the Controller to any potential issues.
  • Prepare daily bank deposits, cash for change.
  • Processes incoming and outgoing mail for all departments and maintains postage machine.
  • Perform other duties as may be assigned by the Controller.
  • Develops and maintains a highly customer service focused environment with an anticipatory, participative, cooperative operating style.
  • Complete month-end duties related to the AP process, including but not limited to:
  • Review, prepare and record AP related accruals.
  • Perform reconciliations for balance sheet accounts related to AP.
  • Assist in other month-end duties as assigned.
  • Perform other related duties as assigned.
  • Work environment is an office setting with moderate to light noise. This position requires seeing, hearing, speaking, sitting, standing, walking, lifting, carrying, pushing and/or pulling a maximum of 35 pounds.

Qualifications:

  • Three + years’ experience in an Accounts Payable role and general accounting processes.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Excel.
  • Ability to work independently and in a fast-paced environment.
  • Ability to anticipate work needs and interact professionally with all museum staff and customers.
  • Work experience in a non-for-profit organization and/or familiarity with grants and donor designated funding is highly desired.
  • Use of Microsoft Dynamics Great Plains accounting software is highly preferred.
